2020 KOFPC Chicago Area Golf Volunteers

 

  • Event Day Volunteers are expected to arrive at 6am a TBD GC, and report to ____________, the volunteer activities coordinator.

Golf Committees & Volunteers information:

 Volunteers are needed on 2 days. Thursday, at 6- 7:30 pm for Goody Bag at ____________ local facility or church. Setup staging location of shipment and storage of Golf Items. Poc is ________ / The Event is Friday at 6 am - 2 pm at the host golf facility .

6. Tournament Setup- Local Committee

~ 7 (seven) needed to gather and assemble goody bags for players the night before event. Inventory gift and trophies and signage for event.

2. DAY OF EVENT COMMITTEES:

- Committee members are requested on the day of the event (FRIDAY) to where a collared white golf or white short sleeve shirt as part of the identifier as the hospitality volunteer.

- Wear appropriate golf attire and dress comfortable (golf or tennis shoes and slacks and hats if you are outdoors)

1. Core Golf Event Planning Group

The Core Committee consists of a 4 persons in charge of the event. TBD is the prime organizer along with assistance from  __________________.  These 4 individuals are empowed to decide and assign all aspects of the event.  The core committee will prepare a post event report and ensure final disbursement are made and provide recommendations for next year's event.

2. Marketing & Communications- photographer

1 (one) volunteer with camera and social media background as needed to take photos for publication on social media whatsapp.com during and post event and convention event PR in accordance with KofPC press policies for fb posting and social media policy.

3. Player and Clinic Registration Desk

4 (four) volunteers are needed a sign in and registration table to register players, drinks / dinner tickets, and mulligans packages, goody bags, and collect any outstanding balances or donations.

5. Hospitality and Food

3 (three) volunteers are needed to assist in the clubhouse to assist the lunch caterers

6. Tournament Setup- Local Committee

6 (six) volunteers are needed on the course the day of the event. Local units are requested to lead this effort.  responsible for placement and arrangement of hole signs, event welcome banner placement, registration desk signs/ hole sign designs.  2 persons will be responsible for witnessing par 3 hole 17 hole-in-one. Other individuals will patrol the course and ensure all things on the course are taken care of. Report any issues immediately to event coordinator and pro shop for action. At the end remove all items from the course at 1 pm.

2. Marketing and Communications (pre event and post event write ups and press releases)

2 (two) volunteer  with print and social media background as needed to design and implement all event general communications. Print Copyright events.   The Core Golf Committee will develop donation letters, announcements, online flyers, news print.  This volunteer would be responsible for creating and distributing the above marketing for pre and post event communication media. Logos etc.

4. Sponsorship Committee

2 (two) volunteers are needed for pre-event work.  These volunteers will be responsible for acquiring and managing the list candidates, facilitate the mailing of donation/sponsorship letters. These volunteers will be responsible for all major and minor sponsors for the event. Thank You letters and mail out post event. cc to core golf committee & national office.

Major Sponsor ( >= $500 Amts) – LEAD Howard J Rattliff Jr

 

Others (< $500 amounts) including hole sponsors- LEADS – Anita Coleman and Elease Amos Goodwin

Prepare script for requests. Call etc. Leads may assign others to assist.

06:45 AM PLAYERS AND GUESTS ARRIVE AT CLUBHOUSE. TBD golf club. Chicago GOLF COURSE ---- TBD? - near KOFPC National convention hotel (The Westin Chicago Lombard is 70 Yorktown Center, Lombard, Illinois 60148)
06:30 AM GOLF - Grab and go breakfast for golfers and player welcome goody bags from 6:15 am - 8 am. Southland Club House / Player sign-in desk / coffee, orange juice, fresh fruits - bananas, crackers, breakfast tacos, etc - Grab with player Goody Bags.
06:45 AM GOLF- Driving range open for player warm ups Golf Driving Range.
08:00 AM GOLF- Tournament 18 Hole Florida Scramble Format. Shotgun start. Starting area ALL PLAYERS GATHER. Course Welcome by host facility GM. Players announcements / rules sheet review and questions / Blessing of the Players/ Player depart to their assigned tees to begin tournament play.
08:30 AM GOLF CLINIC - Check in / Sign in desk opens TBD GC Clubhouse welcome & registration desk
10:00 AM Intro to Golf seminar and networking. 1.5 hour instructional lessons by a local golf pro at TBD GOLF COURSE TBD Golf Range - Maximum set up for 30 individuals. Must register in advance to allow prep for clubs for students and for pros to set up teaching stations in advance. Register online.
12:30 PM Golf Round ends - "Best Soul Food" Luncheon in the Clubhouse. Golf awards ceremonty ending at 1:30 pm.
02:30 PM A WARM THANKS TO ALL OF OUR PARTICIPANTS (GOLFERS, SPONSORS, AND CLINIC PARTICIPANTS) & OUR HOSTING FACILITY - TBD GOLF COURSE
